This statement confirms how I, Emma Brett-Jones of www.emmabrettjonescounselling.com use and protect any information that you give to me when you use this service.
For the purpose of Data Protection Act 1998 and General Data Protection Regulation 2016 Emma Brett Jones is the data controller of address www.emmabrettjonescounselling.com.
I am committed to the safeguarding and protection of your information and am registered with the ICO. Please read the following in order to learn more about my privacy policy and information and uses practices. If I ask you for any information then it will only be used according to this privacy statement.
When you request counselling with me, or otherwise provide your personal details to me, you will be consenting to the practices described in this policy.
What information is collected?
Counselling Requests – Registering with me to request access to my counselling service can be done via contact form or by phone. This will involve providing me with your name, telephone numbers and email address. I may also request information on your availability, therapeutic issues, and other details that I think are relevant to processing your request.
Website
I use Webhealer to collect anonymous data relating to user behaviour and ‘web traffic’ statistics. The collection and use of this data is subject to their own Privacy Policies. www.phdinteractive.co.uk/privacy
Like most websites my website uses Google Analytics (GA). This data is used to look at the number of people using this site and how they find it and how they travel through the website. It records your IP address that can personally identify you. Google do not give me access to this. Google’s use and ability to share information collected about your visits to this site is restricted by the Google Analytics Terms of Use and the Google Privacy Policy. https://policies.google.com/privacy.
This site uses cookies. These are small text files placed on your computer in order to make websites work efficiently, as well as to provide information about people’s use of the site. Cookies are stored only temporarily during your browsing session and are deleted from your device when the browser is closed. You can choose your use of cookies via the pop up cookies notification.
What information do I share?
I only use your data in relation to the delivery of my services. I do not use it for marketing or to sell to third parties. Our work together will be confidential except in very specific limited counselling reasons when I may need to share your data:
• All professional psychotherapists and counsellors work to professional codes of ethics and good practice. Regular supervision is a requirement from all professional psychotherapy and counselling organisations. I will, from time to time, discuss some aspects of our work in supervision, but your identity will not be disclosed. This takes place in order to monitor the professional consistency and ethical standards of our work.
• Under very rare circumstances, if I believe there was a serious risk of harm to either yourself or another person I would be legally obliged to break confidentiality.
• If I thought it was necessary to make contact with your GP or any other professional concerned with your care, I would discuss this with you first.
How long do you keep the information?
• I am required to keep financial records for my tax returns for 7 years.
• If you choose not to continue with counselling after your assessment session your information will be securely disposed of 2 weeks after as confidential waste.
• If you choose to continue with counselling I may keep anonymized client notes for supervision as outlined above. These will be securely disposed of following the supervision session.
• I keep separate records of name, telephone and email for up to 7 years after your last session.
How do I keep the information safe?
All information you provide to me is stored as securely as possible. Any paper correspondence is kept in a locked cabinet. Emails are kept on a password-protected laptop and iPhone for the duration of the counselling then deleted.
For email correspondence, including the CONTACT ME button -I use Gmail. Gmail encrypts messages in transit. Unfortunately, the transmission of information via the internet is never completely secure and I cannot guarantee the security of your data transmitted to me via email. Any transmission is at your own risk, so please consider the level of personal information you share in email. Gmail, as part of Google, is covered by the US privacy shield. Your rights
• You have the right to ask me to provide a copy of the information held by us in my records.
• You also have the right to require me to correct any inaccuracies in your information.

Changes to this policy
This privacy statement is reviewed regularly so I advise that you check the policy from time to time.
